What's new

What's new in Selfcare

Only what is already available. Each update links to its feature page and, where it helps, a step-by-step guide.

Link people who already have an account to their employee file

If someone could sign in to Selfcare but had no employee file, they can now be linked to it with no invitation and no new account. The owner or HR does it on the file itself.

  • On the file, the Link to existing user button lists company members without a file, with a suggestion by email or name
  • The reason is required and recorded in the audit log; the person's login, emails and role do not change
  • Inviting someone to a file when they are already a member now links them instead of showing an error

The Selfcare website in English

The public website now exists in English at selfcare.work/en. People who work in Portugal and don't read Portuguese can see the features, prices, simulators, help and legal texts in their language.

  • A PT/EN switcher at the top and bottom of every page opens the same page in the other language
  • Portuguese legal and tax terms such as IRS, NIF and Segurança Social stay in Portuguese, with a short explanation
  • The English help centre is now linked to the rest of the site, and each article opens in the other language

Several companies, one login

If you have more than one company in Selfcare, as the owner of two companies does, you sign in to all of them with the same email and password. You switch company in the selector at the top of the sidebar. The Selfcare team can give an existing account access to another company, with no invitation and no new account.

  • The selector opens with a click on the company name or with the E key, and searches by name or NIF (tax number)
  • Each company stays separate: the role, menus, data and notifications are those of that company
  • Anyone given access to a new company is told by email, in their own language, and in the company itself

A congratulations email when onboarding is complete

When the last required onboarding item or document is delivered, by the employee or by HR, the person gets an email saying their Selfcare registration is complete. It carries the company logo and a button to open the app.

  • Sent only once per person, in the language they chose (Portuguese or English)
  • Never during imports, and never to anyone who had already finished onboarding
  • It carries only the first name and the company name, never the data delivered

Validate documents right on the employee profile

Owners and HR can now validate documents uploaded by employees, such as the citizen card, in the Documents tab of the employee profile. Each document awaiting validation has Validate and Reject buttons next to open and download.

  • Reject always asks for a reason, which goes in the notice to whoever uploaded the document
  • It is the same validation as in Approvals: documents awaiting validation still appear there
  • Only for the owner and HR, and nobody validates what they uploaded themselves

Close the onboarding card once it's complete

On the employee profile, the owner and HR can close the Onboarding card once everything is done, to keep the profile tidier. The card stays closed for good on that profile.

  • A Close button in the corner of the card, only when onboarding is complete
  • It is saved on the profile: the card disappears for the whole HR team, on any computer or phone

The leave balance starts in the year of hiring

People who joined the company this year no longer see a row of zeros for the previous year in the yearly leave balance. The year-end closure and the balance recalculation now always start in the year of hiring.

  • The year-end closure only includes people already hired in the year being closed
  • Changing the start date on the contract no longer creates closures for years before hiring
  • Manual adjustments and years with recorded days stay visible

Sign in with your personal email too

The owner or HR can let an employee who already has an account also sign in to Selfcare with their personal email. The person gets a link at their personal email, confirms it is theirs and can then sign in with it, using the same password.

  • In Settings, Users and on the employee profile, with the status in plain view: not active, pending or active
  • A single-use link, valid for 72 hours, and a notice to the person's main email
  • Anyone who never set a password chooses one when confirming and carries on where they left off
  • You remove it with one click, and open sessions end

My area, arranged your way

The Selfcare home page now has a Customise button. You choose which blocks appear (leave balance, calendar, upcoming absences, payslips, birthdays, teams, approvals) and in what order. The layout is yours alone and is saved for each company.

  • Show or hide each block and change the order, by dragging or with the arrows, also by keyboard alone
  • Team leaders and people in Human Resources see Approvals first
  • Restore default goes back to the original layout
  • Hidden blocks aren't loaded, so the page opens faster

A new help centre, in Portuguese and English

Selfcare help now has short guides for people who use the app every day: signing in, requesting leave and Home Office, submitting an expense, viewing your payslip and handling personal documents. Each guide exists in Portuguese and English, and a search helps you find what you need.

  • Guides organised by topic, with a search that ignores accents
  • Each article in Portuguese and English, with a language switch at the top
  • The guides for mileage logs and Who approves moved to the help centre

Payslips, logs and exports in English

PDFs and exports now come out in the language of the person who requests them. If you chose English in Settings, Preferences, your downloads are in English. That covers the payslip, the mapa de kms (mileage log), the ajudas de custo (per diem) itinerary log and the payment report. It also covers the CSV and Excel exports of reports, absences, people and the budget. Portuguese legal terms such as IRS (personal income tax), Segurança Social (Portuguese social security) and ajudas de custo stay in Portuguese, with a short explanation in English.

  • What counts is the language of the person downloading the file
  • People using Portuguese keep getting exactly the same files
  • DMR, DMR-AT, SEPA and the files for the bank and for accounting software always stay in Portuguese
  • The payslip archived in Documents is still the Portuguese one

Emails and alerts in English

Selfcare emails now arrive in the recipient's language. If you chose English in Settings, Preferences, you get these in English: absence, expense and document alerts, the weekly summary, access codes, password resets and security alerts. The same goes for Slack messages and mobile app notifications.

  • What counts is the language of the person receiving, never of the person who made the request
  • People using Portuguese keep getting exactly the same emails
  • Invitations to people who don't have an account yet go out in Portuguese
  • Invoices stay in Portuguese

The management screens in English

After My area, the screens for managers reach English: People, Teams, Approvals, Absences, Payroll, Reports, Budget and all of Settings. If you choose English in Settings, Preferences, you now work in English from start to finish. Portuguese legal terms such as IRS, TSU (social security contribution rate), DMR (monthly pay return) and subsídio de férias (holiday allowance) stay in Portuguese, with a short explanation in English.

  • People using Portuguese keep seeing everything exactly as before
  • Useful for HR teams with people who don't speak Portuguese
  • Emails, PDFs and some error messages stay in Portuguese for now

My area in English

If you choose English in Settings, Preferences, everything an employee uses now appears in English: My area, absences, expenses, documents and payslips, onboarding, notifications and the sign-in pages. Portuguese legal terms such as IRS, NIF and subsídio de alimentação (meal allowance) stay in Portuguese, with a short explanation in English.

  • People using Portuguese keep seeing everything exactly as before
  • Notifications appear in the language of the person reading them, not of the person who made the request
  • Dates and amounts follow the British format: 28/10/2026 and €1,234.50
  • The management screens (approvals, payroll, settings) move to English in the next phases

Home Office only on the weekdays your company chooses

On top of the limit of days per week, a company can now choose which days allow Home Office. For example, two days a week, only on Tuesdays and Thursdays.

  • In Settings, Home Office, the owner or HR ticks the allowed days. With none ticked, any day is allowed, as before
  • When you book Home Office, the other days appear disabled in the calendar, with the explanation
  • A request that includes a working day outside the allowed days is refused, whether it comes from the app, the API or the assistant
  • If the weekly limit is higher than the number of allowed days, Settings warns you: in practice the lower number applies

The language you choose stays in your account

The language chosen in Settings, Preferences is now saved in your account and not just in the browser. Sign in on another computer or on your phone and Selfcare opens in the same language. This is the first step towards the English app, which is arriving in stages.

  • People who never chose a language keep seeing everything in Portuguese, as before
  • When you sign in, the browser syncs with the language saved in the account

The weekly email shows the week as a timeline

The weekly absence summary that the owner, HR and team leaders get on Mondays now opens with a timeline: one row per person, one column per day. You see at a glance who is on leave.

  • Each day off is coloured by absence type, with a legend. Half days appear lighter, with ½
  • Weekends, public holidays and each person's scheduled rest days appear faded
  • Sickness and unjustified absence still appear only as Away, in grey, without the type's colour
  • The list with the dates stays below. The monthly summary keeps only the list, because a month doesn't fit on a phone

Sign in with your personal email before you have a company one

People joining a company that hasn't set up their work email yet can now be invited. The invitation goes to their personal email and they sign in with it. When the company email arrives, they can sign in with both, using the same password.

  • In New employee, the work email is now optional. The invitation needs only the personal email
  • With both emails, accepting the invitation adds the personal one to the sign-in emails, already proven
  • A work email added later on the employee profile stays pending until the person confirms it
  • In Sign-in emails, a confirmed email already used to sign in can become the main one, and the person is told at both addresses
  • Forgot your password also works with a confirmed sign-in email, and the link goes to that email

Teams show only people still at the company

People who have left the company no longer appear in teams or count as members. The history is kept and comes back if the termination is reversed.

  • On the team page, the team list and the org chart, anyone with a terminated contract or archived disappears from the exit date
  • Anyone with a scheduled exit still appears until then, with the date they leave
  • If a team's leader is no longer at the company, this is flagged so you can hand the team to someone else
  • The API and the assistant count members in the same way

New employee asks for the fields HR collects

When you create an employee profile, the New employee wizard shows the onboarding fields your company set to be collected by HR. The internal code is now always assigned by Selfcare.

  • With custom onboarding on, the fields with Collected by set to HR appear. With it off, the wizard stays as it was
  • Required fields carry an asterisk and are needed to move on. Optional ones can wait for the employee profile
  • NIF, NISS (social security number), IBAN, address and other personal data appear only to the owner and HR
  • The internal code is generated when the profile is created and can't be edited

Custom onboarding with tabs

In Settings, Onboarding, a switch decides whether you use the default onboarding or your own. Off, you see straight away which fields and documents are collected. On, you configure everything in two tabs.

  • Off, a list with a tick on each field and document that onboarding collects
  • On, a Fields tab and a Documents tab, with the level and who collects each one
  • Turning it off deletes nothing: when you turn it back on, the setup appears as it was

One logo for light mode, another for dark

If your company logo doesn't read well on one of the backgrounds, you upload a version for each mode. Each person sees the one that matches the theme they chose.

  • Turn it on in Settings, Appearance, on the logo card
  • The menu shows the right version straight away, also when the theme follows the system
  • Without a version for one mode, the other one appears
  • Emails and payslips use the light mode version

Document alerts open the document

The email, notification and Slack message about a new document now go straight to that document, instead of the list.

  • The payslip opens ready to view, with the button to download it
  • Also for read requests and when a document is validated or refused
  • People in several companies land in the right company. Without a session, you sign in and return to the document
  • If the document no longer exists, you end up in My documents with a notice

Subsídio de alimentação paid to its own account

If the subsídio de alimentação goes to the meal card account, the month's SEPA file now separates it. Each person gets their net pay without the allowance, and everyone's allowance goes in a single transfer.

  • Turn it on in Settings, Meal allowance, with the destination IBAN and the account holder
  • The IBAN is validated and stored encrypted. The screen shows only the last four digits
  • You download the per-person detail once the month is closed, to send to whoever manages the account
  • Payslips, the DMR and the reports don't change: only the way of paying does

Migration reviewed case by case before importing

When we bring your data over from another system, every case that doesn't fit first time is decided with you before importing, and nothing goes in undecided.

  • Custom absence types move to a type your company already has, with no new types created
  • Absences in hours become days, at 8 hours per day, with half days
  • People with no NIF still go in and you fill it in later on the employee profile, or with a validated NIF
  • People who approved their own requests move to the owner or HR, or to whoever you name. With several managers, one approval is enough

A solo owner no longer has expenses left waiting

In a company where only the owner can decide, their expenses, per diem and mileage logs are approved by the system on submission, as absences already are.

  • Only when there is no other owner, HR person, leader of their teams or person chosen in Who approves
  • For expenses, an accountant in the company can also decide: the expense goes to them in that case
  • It is recorded as an automatic approval, and nobody gets a request to approve
  • Requests that were already pending don't change

Nobody approves their own requests

Absences, expenses, per diem and mileage logs always go to someone else, even when the person asking is the company owner.

  • The owner's request goes to their team leader, or to another owner or HR
  • If you have no leader to approve you (no team, or you lead your own), the request goes to the owner or HR instead of being approved
  • Only in a company where nobody else can decide are absences recorded as approved
  • It applies in the app, the API, MCP and Slack, and when reopening or changing a decision

Teams in the MCP server and the API

An AI assistant connected to Selfcare now knows the company's teams: who leads each one and how many people it has.

  • New list_teams tool, with the same scope as the directory (employees:read)
  • In employee search, each team shows who leads it, and the teams a person leads appear too
  • The leader counts as a person in the team, once, in the member count
  • In the API, GET /v1/teams also accepts the employees:read scope and returns leads and memberCount

Trip date and reason in the payment report

The PDF report for each Payments batch now shows, per employee, every trip and expense the batch paid.

  • For each item: the date, the reason, the destination or route, the km and the amount
  • Each employee's subtotal is the same total as in the batch table
  • When the batch pays the net amount of the accountant's payslip, an adjustment row shows the withholding and deductions
  • The totals table stays the same, and the IBAN still shows only the last four digits

Km calculated with Google Maps in mileage logs

An option for the company to turn on: the Calculate km button fills in the road km between the start and destination of each trip.

  • Off by default. You turn it on in Settings, Mileage logs
  • Calculated km stay editable, and approvers see when they were changed
  • Google gets only the start and destination, never employee data
  • If the calculation fails, you type the km by hand, as before

Who approves expenses, per diem and mileage logs

Each of these modules can have its own approvers: the team leader, as before, or the people the company chooses.

  • In each module's settings, the Who approves card
  • Specific people replace the team leader in that module, without touching teams or leave
  • One approval is enough, or everyone must approve, with the count shown in Approvals
  • The owner and HR can still always decide, and nobody approves their own requests

Default vehicle in mileage logs

If you use more than one car, you choose the one a new trip brings by default and stop picking it on every trip.

  • The first vehicle you register becomes the default. You mark another with one click in My vehicles
  • Management marks the default for any employee in Administration, Expenses
  • You can still change the vehicle on the trip
  • Also in the API: the isDefault field and POST /v1/vehicles/{id}/set-default

Mileage logs

The km driven in your own car on company business, in a monthly log per employee: approved in Approvals and paid with expenses or on the payslip.

  • In My expenses, a new tab next to Expense reimbursement and Per diem
  • Personal vehicles with registration, owner and the declaration that they aren't company cars
  • Up to €0.40 per km exempt from IRS and Segurança Social. Any excess always shows as taxable
  • Paid in the same batch and the same SEPA file as expenses, or on the Selfcare payslip with the DMR-AT filled in
  • A PDF log per person and month, proof of payment and a batch report
  • API, MCP and webhooks, including paying and reverting payments of expenses, per diem and mileage logs
