Several login emails, one employee profile
One person can have several company emails: the usual one, the group's, the one on the new domain. Any of them opens the same account and the same profile, with no duplicate accounts and no broken history.
1Sign in
Sign in with any company email.
Through Google or with a password. The email has to be verified: Google confirms it, or the access code reaches that address.
A new email can't be a new person
A company changes domain, joins a group or merges with another, and suddenly each person has two or three emails. If someone signs in with the new email and the system doesn't recognise it, an empty account appears: no leave, no payslips, no documents. And HR spends the afternoon undoing duplicates.
One person, several emails
Every email leads to the same profile
Each employee's profile has a Sign-in emails card, with the main email and the alternatives. Signing in with any of them, through Google or with a password, always opens the same account.
- Any name before the @: rui.alves@, ralves@ or r.alves@, all the same person
- The company's domains are the ones in Settings, Access: emails on other domains need explicit confirmation
- Leave, payslips, documents and approvals stay where they were
- Each person sees their emails in My details and can remove any they don't recognise

On the employee profile
HR joins the emails in a minute
The owner or HR adds an email to the profile, and the person gets a link at their main email to confirm it's theirs. Until then, the email stays pending and can't be used to sign in by any route.
- Confirmation by a single-use link sent to the main email, or in the session itself with a new code
- Each email shows its status: pending, opens the account, or outside the accepted domains
- Removing an email ends the sessions opened with it, immediately
- Only an owner can change another owner's sign-in emails
- It all goes in the audit log, with no emails in plain text: only who, when and on which profile
Automatic linking, on by default
Emails with the same name, linked on their own
Someone who signs in with ana.silva@grupoatlantida.com is linked to the profile of ana.silva@atlantida.pt, instead of getting a new account. It only happens when it's safe:
Verified email
Google has to confirm that the email belongs to the person signing in. An unverified email never links anything.
One person only
The name before the @ has to match exactly an email that person has already proved, on another accepted domain. Two Anas, no link.
Inside the company
Never across companies, never on free email such as gmail.com, never for owners, platform administrators or accounts with access to other companies.
The person and HR get a notice for each link, and either of them can undo it with one click.
Built not to open doors to the wrong people
The person confirms
An email added by HR stays pending until the person confirms, at their main email, that it's theirs. After that, signing in takes proof: Google confirms the email, or the access code reaches it.
Each company in its place
An email registered in one company never gives entry to another. Someone who works in several only uses an alternative email once all of them have registered it.
No spelling tricks
Lookalike letters from other alphabets are refused, and dots or + tags don't turn one email into another. Each email belongs to one person only.

Frequently asked questions
How many emails can each person have?+
As many as they need. Each email belongs to one person only, and the main one always stays.
Our company changed domain. What do I have to do?+
Add the new domain in Settings, Access. Then either add the new emails to each person's profile, or turn on automatic linking and each person is linked the first time they sign in with the new email.
Can I add an email on another domain, for example .pt and .com?+
Yes. If the domain isn't among the company's accepted domains, we ask for explicit confirmation, and we record that it was added outside them.
What if someone adds an email that isn't mine?+
Don't confirm it: an email you haven't confirmed never works for signing in. The confirmation link goes to your main email, and you remove anything you don't recognise in My details.
Is automatic linking on by default?+
Yes, with the rules above. The accepted domains are set by the owner or HR in Settings, Access, where the option can also be turned off at any time.
Does it cost anything?+
No. The price is per active employee, as always: a person with three emails counts as one person.
