Migration
Switch to Selfcare without a migration project
Coming from other software or an Excel file? The importer was built for the real world: imperfect files, old codes, years of history. In minutes (not weeks), your company is in.
- 1
Export from your current system
From other software or from the Excel file you've always used. Any Excel or CSV file with one row per employee will do. You don't need to prepare it.
- 2
Choose what you want to do
Create or update employee profiles, load salaries and contracts, or import the history of leave and absences. You can do all three, in this order, with the same file or with different files.
- 3
Confirm the column mapping
Selfcare recognises the columns in your file and suggests the match (“Taxpayer no.” → NIF, “Salary” → base salary). You see a sample of the first rows before you confirm.
- 4
Review who will be created and updated
Before touching any data, the importer shows you who it recognised (by code, email or name) and who is new. You choose exactly who goes in.
- 5
Imported, with the right balances
Past leave comes in without duplicating anything, and each year's balances are recalculated under Portuguese law (including what carries over). Your team opens the timeline and recognises the company.

Bring the export from your current system to the demo. We import employees, salaries and leave history with you, and you leave with your company inside Selfcare.
The importer's rules
- It never duplicates. Repeated leave dates are detected and ignored. Overlapping periods are merged, never shortened.
- It never deletes. Importing only creates and updates. What already exists in Selfcare doesn't disappear.
- Idempotent. You can run the same import twice: the second run changes nothing.
- History doesn't become debt. Past leave counts towards balances but never creates payroll adjustments. It is assumed paid in the source system.
- Errors with context. If a row fails, we say which one, why and with which dates, so you can fix the file and try again.
- Exit door included. You can export everything at any time, in the same format you imported. The data is yours.

Questions about migration
What data can I bring?+
Full employee profiles: personal data, contacts, address, NIF (tax number), NISS (social security number) and IBAN. Contracts (type, dates, weekly hours) and salaries (base, history of raises). And several years of leave and absence history, with balances recalculated.
My export doesn't have columns with the 'right' names.+
That's fine. Mapping is manual when it needs to be: for each field you choose the column in your file, with a sample of the values alongside. The automatic suggestions get most of them right. You confirm the rest.
What if the employee codes are from the old system?+
Selfcare keeps your external code on each employee profile and uses it as the key in later imports. Selfcare's internal code stays untouched, and the two live side by side.
How much does migration cost?+
Nothing. It is included in every plan. And if you'd like company, we'll do the first import with you in the demo.
Bring your file to the demo
The best way to judge the migration is to watch it happen: 30 minutes, your export, your company inside Selfcare.
