Each of these modules can have its own approvers without changing your teams, which still decide holiday and absences.
Where to set it up
In each module's settings, on the Who approves card: Settings, Expenses (expense reimbursement), Settings, Per diem (ajudas de custo) and Settings, Mileage logs (Mapas de Km's). Each module has its own rule. Only the owner and HR can change it, and every change is recorded in the audit log.
Team leader
This is the default. The leaders of the employee's teams decide, as with holiday, and the backup approver when the leader is away. Nothing changes if you leave this option alone.
Specific people
Choose one or more people in your company (up to 20). They decide that module's requests for every employee, in Approvals, and they receive the notice for each new request.
- Team leaders stop approving in that module, unless you choose them too.
- Nobody approves their own requests: when the requester is one of the chosen people, the others decide.
- The chosen people decide pending requests. Changing a decision already taken, reopening or cancelling a request is for the owner, HR and, for expenses, the accountant.
- In this mode there is no backup approver: so nothing waits for someone on holiday, choose more than one person with the rule one approval is enough.
- You can choose active people or people on leave who have access to Selfcare. For mileage logs the accountant can't be chosen, because they never decide logs.
One or everyone
- One approval is enough: the first approval validates the request.
- Everyone must approve: the request is only approved when all the chosen people approve. Approvals shows how many have approved so far, and whoever has approved no longer sees the request. A rejection rejects straight away, with the reason for the employee to fix.
Owner, HR and accountant
The owner and HR can always decide any request in these modules on their own, even with the rule everyone must approve, and so can the accountant for expenses. That is how it worked before this option. Nobody decides their own requests, not even the owner: those go to the leader, to the chosen people or to someone else in management.
In a company where the owner has nobody else who can decide their requests (no other owner, no HR, nobody chosen in Who approves, no leader of their teams and, for expenses, no accountant), their expenses, per diem and mileage logs are approved by the system on submission, as already happened with absences. It isn't the owner's decision: it is recorded as an automatic approval and nobody receives a request to approve. As soon as someone else can decide, new requests go to them again.
Requests already pending
Changing the rule doesn't rewrite anything. Pending requests follow the new rule at the moment someone decides them. An approval already given only counts if that person is still chosen. New approvers see pending requests in Approvals straight away, but are only notified of new ones.
