Letting someone sign in with their personal email

How the owner or HR let an employee who already has an account sign in with their personal email too, what the person receives and how to remove it.

People who already have a Selfcare account sign in with the email the account was created with, usually their work email. If someone would rather also sign in with their personal email (for example, so they don't depend on their work mailbox), the owner or HR can turn this on. It's the same account, with the same password.

Where to turn it on

In two places, with the same result:

  • Settings, Users, on the person's row, Sign-in with personal email button.
  • On the person's employee profile, at the top, next to Actions.

The button only shows when the profile has a linked account and a personal email. It always uses the personal email on the profile: to change the address, edit it in the personal details first.

  1. Click Sign-in with personal email.
  2. Check the email and click Send confirmation link.
  3. The person opens the email they received at their personal address and clicks Confirm and turn on.

What the person receives

  • At their personal email, a confirmation link. It works once and is valid for 72 hours. The email can only be used to sign in after they confirm.
  • At their primary email, a notice that the request was made and, later, that the email is on. If they don't recognise the request, they can remove the email in My details.

Someone who never set a password (for example, someone who only signed in with Google) chooses one when confirming and picks up where they left off, onboarding included. Someone who already has a password keeps it: the link never changes it.

Status

The button shows the status: Sign-in with personal email (not on), Personal email: pending (link sent, waiting for confirmation or expired) and Personal email: on. For a pending request you can Resend link; the previous link stops working.

Removing it

Open the same button and click Remove. The email can no longer be used to sign in and the person's open sessions end. You can also remove it on the Sign-in emails card of the profile.

When it isn't available

  • The person doesn't have an account yet: send them an invite. Accepting it at their personal email already lets them sign in with it.
  • The account has access to other companies or to an accounting firm: for security, it only signs in with the primary email.
  • Only another owner can change an owner's account.
  • There's an hourly limit on emails sent, to prevent abuse.
