Booking holiday in several companies

If you have an employee file in more than one company, book the same absence in all of them at once, with one request and one approval in each.

If you work for more than one company with the same account, you don't need to switch company and repeat the request. You book in one and choose the others.

The option appears when your account is linked to an active, licensed employee file in another company. It works for any role and any absence type.

  1. Open the absence form as usual and choose the type and dates.
  2. Under Also book in you see your other companies, already ticked. Next to each one are the days the request counts there and, for holiday, what you have available.
  3. Untick the companies where you don't want to book.
  4. Click Book in 3 companies. The number follows the companies you choose.

At the end you see a summary with the status in each company, for example "Boxer: approved" and "FleetData: waiting for approval". The same summary stays in your notifications.

What changes from company to company

Each company keeps its own request and follows its own rules:

  • Days: they count with each company's public holidays and schedule, so they can differ.
  • Balance: the days come off each company's balance.
  • Approval: each request follows that company's approvers. Nobody approves their own requests, not even the owner. A request is only approved from the start when nobody else in that company can decide it.
  • Blocked days: only an owner or HR in that company can book over them, and the choice is made company by company.

If a company can't be ticked

If the company doesn't have the chosen type, it appears disabled, with the reason, and doesn't count for the request. Selfcare's own types match even if the company has renamed them. Types created by the company match by name.

If there is a problem in a ticked company, such as not enough balance or blocked days, you see the error next to it and the button stays disabled until you fix it or untick that company. An absence already booked on the same days only shows a warning.

Correcting or cancelling

Open the request in any of the companies. When you click Correct or Cancel, choose under Apply to the others too where you want the same change.

From here you can only change a request nobody has decided. A request already approved or rejected in another company appears disabled: to change it, switch to that company and do it there. In the company you are in, cancelling follows the usual rules. See Switching company.

Corrections and cancellations across companies are also all or nothing.
